How we use your information

Who we are

Chiang Mai Volunteer Life is the volunteer program described on this website, run by the team behind Brainstorm Language House (บ้านภาษาเบรนสตรอม), Chiang Mai, Thailand. We are the data controller for the information you give us here.

What we collect

When you apply we ask for: your name, email address, WhatsApp number, nationality, current country, age, occupation, native language and English level; your preferred dates, travel companions and room preference; whether you plan to work remotely; how you found us; why you want to volunteer; and your teaching or volunteering experience.

Because we cook for volunteers and must be able to act in an emergency, we also ask for dietary requirements, allergies, anything we should know in an emergency (optional), and an emergency contact’s name, relationship and phone number.

We record when you verified your email address, the emails we send you and their delivery status, changes to your application status, notes made by our team, and technical information such as the time of submission.

Why we use it

To review your application, plan availability and rooms, prepare meals safely, contact you before and during your stay, respond in an emergency, and keep a record of the volunteer program. We do not sell your information or use it for advertising.

Who can see it

Only our program team (the Owner and Admin staff accounts) can see applications. Dietary, allergy, medical and emergency-contact details are shown to the team only when needed for your stay. We do not publish any applicant information.

Our website and database are hosted by service providers (Vercel for the website, Supabase for the database, Resend for email). They process data on our behalf and are not allowed to use it for their own purposes.

How long we keep it

We keep applications for the duration of the program relationship and for a reasonable period afterwards for our records. Applications that never verified their email are removed after a short period.

Your rights

You can ask us to see, correct or delete the personal information we hold about you, or to withdraw your application at any time. Contact us using the details on the Contact page. We will remove your personal details unless we are required to keep them.

Cookies

This website does not use advertising or tracking cookies. Only technical cookies needed for the admin login are used, and only by our team.
